Role Description

As a Senior Executive Assistant, you will play a pivotal role in supporting and enhancing the effectiveness of executive leadership. This position demands a highly organized and detail-oriented professional capable of managing complex schedules, coordinating high-level meetings, and maintaining a proactive approach to various administrative responsibilities. The Senior Executive Assistant will act as a key liaison between the executive team and internal/external stakeholders, ensuring seamless communication and collaboration. This role requires a strategic thinker who can anticipate needs, exercise discretion, and contribute to the overall efficiency of the executive office.

Your Impact

  • Executive Support: Provide comprehensive support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Serve as a primary point of contact between executives and internal/external stakeholders. Facilitate clear and timely communication on behalf of the executive team.
  • Meeting Coordination: Plan, organize, and coordinate high-level meetings, ensuring all logistics are seamlessly executed. Prepare agendas, take minutes, and follow up on action items.
  • Document Management: Create, edit, and proofread documents, reports, and presentations. Ensure accuracy and alignment with organizational standards.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain a high level of confidentiality in all interactions.
  • Project Assistance: Support special projects and initiatives, providing administrative assistance to ensure successful execution.
  • Prioritization and Time Management: Effectively manage competing priorities, deadlines, and tasks to meet the demands of the executive office.
  • Team Collaboration: Collaborate with other administrative professionals and executive assistants to streamline processes and enhance overall office efficiency.

Required Skills:

  • Experience: Proven experience as an executive assistant or in a similar role, preferably supporting C-level executives.
  • Organizational Skills: Exceptional organizational and multitasking abilities to handle a diverse range of responsibilities.
  • Communication: Strong written and verbal communication skills with a keen attention to detail.
  • Discretion: Ability to handle confidential information with integrity and discretion.
  • Initiative: Proactive mindset with the ability to anticipate needs and take independent action when required.
  • Adaptability: Flexibility to adapt to changing priorities and work in a fast-paced environment.
  • Technology Proficiency: Proficient in Microsoft Office Suite and other relevant office software. Familiarity with project management tools is a plus.
  • Professionalism: Poised, professional demeanor with a positive attitude and a commitment to providing high-quality support.
